We are looking for an experienced Receptionist/Administrator to join our team on a full time basis, Monday- Friday 35 hours per week, office based in SE1, London. Salary is circa £25,000 per annum.

The role will involve:

  • Answering calls and dealing with all callers in a polite and professional manner, putting through calls to the appropriate person/taking messages if the person is not available.
  • Answering the door and welcoming visitors, ensuring they are signed in as required.
  • To make refreshments for visitors as needed.
  • To monitor and update the staff desk allocation, meeting room and car park space booking records.

Administration:

  • To sort and distribute incoming post, frank and prepare post for delivery/take to Post Office any outgoing post.
  • To obtain relevant signatures on a variety of legal documents and process them as instructed.
  • To receive deliveries and advise recipient.
  • To purchase any type of consumables (eg stationery, ink cartridges, tea, coffee, food, cleaning materials, etc) – liaising with appropriate parties beforehand to ensure needs are being met.
  • To contact suppliers/contractors as needed and to direct contractors to where they need to be.
  • To liaise with the Facilities Team, if required, for building related issues.
  • To set up users on various automated systems and help reset their passwords.
  • To word process documents as directed.
  • To undertake mail outs or other communication activities.

The ideal candidate will have significant experience in a similar role with proven ability to ‘meet and greet’ in a professional and friendly manner.  

Essential criteria:

  • We are looking for someone with excellent communication and organisational skills
  • Adaptable and able to use your own initiative as well as being able to work as part of a small and busy team
  • Excellent IT skills with knowledge of IT software and databases
  • Good attention to detail
  • someone who is comfortable with and capable of dealing appropriately with confidential and sensitive information
